Your FLOW has three main User Roles:
- Staff
- Editor
- Administrator
Staff: This is the user role most everyone should be assigned to. They'll be able to work on stories that have been assigned to them specifically or via the work flow. They'll also be able to Pitch story or project ideas. They'll be able to submit Drafts to your WordPress site.
Editor: This role should be assigned to higher level users, such as your Section Editors, Photography Editors, Video Editors, Managing Editors, and Editors in Chief. Editors can do just about everything outside of important administrative functions such as creating and editing users, applying and viewing grades, and establishing FLOW's main settings. They'll be able to publish directly to your WordPress site.
Administrator: This role should really just be assigned to one person, the adviser or primary administrator of the program. They'll be able to do everything on the site but will also be able to see everyone else's details, grades, user accounts and permissions, etc.
Each user's permissions are editable, so say there is a Staff member who should have just a few more permissions, you can do that individually under their respective user profile.
* If you have a super user that is not the actual adviser or administrator of the program, do not make them an Administrator. Instead, make them an Editor and just grant them all of the permissions found on the right side of their user profile.
Key Editors
Key Editor is a term used when referring to an individual that will always be associated with stories from a certain tag, such as a Section (e.g. News, Sports, Opinion, etc.), assignment type, etc. When you assign a default Key Editor for a certain filter they will be notified when new stories appear in their section and it will give the creator easy access to submit their stories to them.
You can make a user a Key Editor under their user profile via the Linked Tags/Filters options. You can also set Key Editors per tag via the Story Tag Groups and Assignment Type sections in your FLOW settings. This way, that person will always be linked to the story from the start.
We recommend starting off pretty conservative with these Key Editors and having only one per story tag, such as one person for Sports, one person for News, one person for Writing, one person for Design, etc.
