One of the first things you'll want to do on your FLOW account is add your staff as users -- that way they will be able to log in to start pitching and working on stories.
Creating User Accounts in FLOW
Similar to your SNO website, FLOW has different user roles you can assign users that will give them different permissions and allow them access to different locations on your FLOW account. FLOW has three main User Roles: Staff, Editor, and Administrator. See descriptions of each below.
Staff: This is the user role most everyone should be assigned to. They'll be able to work on stories that have been assigned to them specifically or sent to them via a Workflow. They'll also be able to pitch story or project ideas.
Editor: This role should be assigned to higher level users, such as your Section Editors, Photography Editors, Video Editors, Managing Editors, and Editors in Chief. Editors have permission to access some of the more managerial functions of FLOW, such as assigning users to assignments, adjusting a Story Status or Deadline, creating and applying a Workflow or Checklist, etc. They'll also be able to send stories from FLOW to WordPress as a Draft.
Administrator: This role should really just be assigned to one person -- the adviser or primary administrator of the program. They'll be able to do everything on FLOW but will also be able to see everyone else's details, grades, user accounts and permissions, etc. * If you have a "super user" that is not the actual adviser or administrator of the program, do not make them an Administrator. Instead, make them an Editor and just grant them all of the permissions found on the right side of their user profile.
Each user's permissions are editable, so say there is a Staff member who should have just a few more permissions, you can do that individually by clicking on their user profile and toggling on (or off) specific permissions in the "Permissions" column.
Key Editors
There are a few different areas where you can assign Key Editors on FLOW -- Assignment Types and Story Tag Groups.
In most cases, you'll click on the Assignment Types or Story Tag Groups tabs in your FLOW Settings to assign Key Editors. You can also make a user a Key Editor via their user profile. To do so, click on their user profile and toggle on (or off) any Assignment Types or Story Tags you want them to be a Key Editor for in the "Linked Filters" column.
We recommend starting off pretty conservative with these Key Editors and having only one per story tag, such as one person for Sports, one person for News, one person for Writing, one person for Design, etc.
Similarly, if you have created any additional Groups on your FLOW Account, such as Copy Editors, you can adjust which Group(s) a user is part of by toggling them on (or off) in the "Groups" column.
